Evidence rules: Ask for more proof only on the orders worth it

A thirty-dollar t-shirt and a three-thousand-dollar watch don't need the same checks. Set the rules once; every order follows them.

Why stores set rules

Spend the extra step where the risk is

One policy for every order is either too loose or too slow

Ask every buyer to approve and honest, low-value orders slow down. Ask nobody and the expensive ones ship with nothing on record. The useful line is somewhere in between, and it is different for every store.

Proof where the money is01

Buyer approval only above the value you pick

For orders above your threshold, sending the sealed packing video to the buyer becomes the next step, so they review it before you ship. Everything below is recorded and archived without extra steps.

Returns that need a look02

Return evidence for the reasons that cost you

Ask the buyer to film the item for damaged, wrong-item or not-as-described returns, and let simple returns go straight through.

Start from your sector, not a blank page

Pick electronics, jewelry, apparel or home and living and suggested settings are filled in. Review them, change what does not fit, and save.

One rule, two routes

Extra proof only where the money is

Set a value once. Orders below it are recorded, sealed and archived. Orders above it get the buyer review step before dispatch — sorted the same way, every time.

  1. 1

    Everyday orders

Recorded and sealed with no extra step for your team.

  2. 2

    High-value orders

Sending the packing video to the buyer becomes the next step, so they review it before the parcel leaves.

  3. 3

    Set it once

The rule applies to every order from then on; a sector template can fill in the starting values.

Step 1 of 4

What you can set

A few choices that cover the risky orders

Buyer review

Three ways to handle the buyer

Keep the evidence in the archive, send every buyer the evidence to review, or ask for a review only above an order value you choose.

Buyer page settings

Shape what the buyer sees

Choose whether the buyer approves or reports a problem, how the page handles media still processing, how much of the video they must watch, whether a problem report needs a photo or video, your consent text, location consent and your branding.

Return reasons

Return evidence by reason

Choose which of seven return reasons ask for a recording, write the message the buyer reads, and decide what happens if they skip.

Store write-back

Proof link back in your store

Add the proof link to the Shopify or WooCommerce order — in order fields and as an order note — or keep it in PallasMark only.

Tighten-only

Rules only add protection

When several settings apply to an order, PallasMark keeps the stricter one. A rule can add a buyer review or a return request; it cannot quietly remove one.

Same store, two policies

Every order treated the same, or each order treated as it deserves

The orders are the same. How much proof each one gets is not.

One rule for every order

Too slow or too loose
  1. 1

Every buyer gets an approval link, even for a $20 order.

  2. 2

Or nobody does, and a $1,500 order ships with no buyer review.

  3. 3

Either way, the policy is wrong for most orders.

With evidence rules

Extra steps only where they pay off
  1. 1

Orders under $500 are recorded and archived.

  2. 2

Orders over $500 get a buyer review step before dispatch.

  3. 3

Damaged and wrong-item returns ask for a recording.

Set your first evidence rule

Questions merchants ask

Evidence rule questions

What are evidence rules in PallasMark?

Evidence rules are the settings in PallasMark that decide how much proof each order gets. On one screen you choose whether sealed packing evidence stays in your archive, goes to every buyer for review, or goes to the buyer only above an order value you set. You also choose which return reasons ask the buyer for a photo or video, and whether the proof link is written back to your Shopify or WooCommerce order. A sector template can fill in suggested settings, and nothing changes until you save.

Can I ask for buyer approval only on expensive orders?

Yes. In evidence rules, choose “Ask for a decision on high-value orders” and enter the order value. For every order above that amount, sending the sealed packing video to the buyer becomes the next step on the order, so the buyer can approve it or report a problem before you ship. Orders at or below the amount are recorded, sealed with a SHA-256 fingerprint and kept in your archive with no extra step. The buyer’s decision is stored with a timestamp, and the same rule applies to every order without manual sorting.

How do I share a packing video with the customer automatically?

Set buyer review in evidence rules, and PallasMark turns sharing into a single step. Once the packing video is sealed, “Send to buyer” becomes the next action on the order, on the web or in the mobile app. One tap sends the buyer a private review link by e-mail, or by SMS or WhatsApp with notification credits. The buyer watches the video, then approves or reports a problem, and the decision is saved with a timestamp. You can choose to send to every buyer or only above an order value, and add your logo and brand colour to the page.

Can I require photos or video for returns only for certain return reasons?

Yes. When return evidence is on, you tick which of seven return reasons ask the buyer for a photo or video: wrong item, damaged, not as described, defective, size or fit, changed mind and other. You write the short message the buyer reads and decide whether evidence is optional or required; when it is required, the link stays open for 1 to 168 hours before the return is flagged as missing evidence. Shopify and ShipHero returns trigger the request automatically, and on WooCommerce orders your team sends it with one click. Simple returns such as a change of mind can go straight through.

Do rules hold or release orders in my store?

No. Evidence rules decide what PallasMark asks for: a buyer review, a return recording and a proof link on the store order. They never hold, release, fulfill or ship an order in Shopify or WooCommerce, and they never approve or refund a return. Your store and your team keep deciding when an order ships and how a return is refunded. PallasMark records the evidence, seals it and stores the buyer’s decision, so you have proof on file whatever happens next with the order.

Can a rule make an order less protected?

No. When more than one setting applies to the same order, PallasMark keeps the stricter one. A rule can add a buyer review or a return evidence request, but it can never quietly remove protection your base settings already give an order. For example, if every buyer already reviews the evidence, a value rule cannot turn that off for cheaper orders. This tighten-only behaviour means adding a rule never leaves an order with less proof than it had before.

Do I have to build these from scratch?

No. Pick your sector, such as electronics, jewelry, apparel or home and living, and PallasMark fills in suggested settings for buyer review, return evidence and the proof link on the store order. Jewelry starts with buyer review on every order; the other templates start with evidence kept in the archive and return evidence on. Review the suggestions, change anything that does not fit your store, and save. Nothing changes for your orders until you press save, and you can adjust each setting later.
