Jewelry Shipping Security SOP and Log

A two-page standard operating procedure for shipping fine jewelry and diamonds: controls, pre-packing checks, the on-camera packing sequence, staffed handover and a shipping log with every field an insurer asks for.

A diamond ring is delivered and signed for, and two days later the buyer says the box was empty. The insurer asks what proves the ring was inside. A shipping security SOP exists so that the answer is a document you already have, made the same way for every parcel, by the people you named, at the bench you chose. This template turns current carrier rules and insurer guidance into that procedure.

When to use this jewelry shipping SOP

Use it for every parcel above a value you set, and for every parcel that leaves on memo, goes to a grading lab, or returns a repaired piece to a customer. The threshold is a business decision; the procedure below it should never change from one packer to the next.

The reason is that carrier liability for jewelry is capped and insurers fill the gap, on condition that you can document what you shipped. These are the limits your SOP has to work around, checked October 2026; the full carrier picture for jewelers is on our jewelry use case page.

Carrier or service Limit or requirement Source
FedEx Jewelry can be declared up to $1,000 per package; FedEx does not provide insurance; jewelry over $500 cannot ship in a padded envelope; the Declared Value Advantage program allows up to $100,000 domestically FedEx, how to ship jewelry
UPS $1,000 liability unless a high-value shipment summary is signed at tender; claims of $1,000 or more may require that summary; $500 for drop-box packages; no packages with an actual value above $50,000 UPS Tariff 2026
USPS Registered Mail Insurable up to $50,000 at a Post Office; Adult Signature Required needs a signer aged 21 or over USPS insurance and extra services

How to fill in the SOP and the log

Fill the SOP in once and the log every day. The SOP fields are decisions: your value threshold, your named packers, your carriers and services by value band, your insurer and its claim contact. Write them in, date the page, and review it whenever a carrier changes its terms.

The log is filled by the packer at the moment of packing, not reconstructed at the end of the week. Every line carries the same order or memo number that appears in the first frame of the recording, so anyone reading the log can open the matching video in seconds. Close each line when the delivery signature comes in, and keep the log with your insurance documents.

Turning the SOP into evidence: video instead of a witness signature

The SOP becomes evidence when each step leaves a record that someone outside your business can check. Older procedures relied on a second person: in a 2009 PriceScope thread on shipping a diamond, one member describes a jeweler's instructions requiring a witness to sign a statement that the contents were actually packed. A witness can say they saw it. A continuous recording shows what they saw.

Current guidance points the same way. The Jewelers Mutual Group advice published by the American Gem Society (July 2026) says to photograph the item from multiple angles before packing, save proof of value, double-box, keep the contents off every label, use a staffed location and require a signature. Parcel Pro's high-value shipping guide adds the step most SOPs still lack: record the packing process to help prove the contents in the event of a claim, use clear tape because tampering shows more easily, and keep the packaging if something goes wrong.

Put together, a claim file built on this SOP contains:

  1. Proof of value: the invoice, appraisal or memo.
  2. Proof of the piece: photos from several angles and the report number on camera.
  3. Proof it was in the parcel: one unbroken recording from the piece to the sealed, labelled carton.
  4. Proof of handover: the counter receipt and, for UPS, the signed high-value summary.
  5. Proof of delivery: tracking and the signature.

Items 3 and 4 are what turn an "empty box" claim into a question about transit rather than about you; how that claim plays out is covered in the customer says the box was empty. The same documentation habit, applied to paintings and sculpture, is the artwork condition report.

How PallasMark digitizes the jewelry SOP

PallasMark turns sections 2 to 6 of this SOP into one sealed record per order, on the phone already on your packing stand. The packer scans the order, the recording opens against it, and the piece, the report and the parcel are filmed in one take. Photos are stamped with your company name, the order number and the upload time inside the image.

  • Sealed so it can be trusted. Every file gets a SHA-256 fingerprint, and the tamper-proof recording has a public verification page that re-checks it on the spot. An insurer, a card issuer or the buyer opens it with no account; the method is explained on how verification works.
  • Approved by the buyer before it ships. Rules ask for buyer approval on orders above the amount you set. You send it with one tap; the buyer watches their piece go into the parcel and approves or reports an issue. You can require them to watch a share of the video before the approve button unlocks, and if you enable it and the buyer allows it, their location is recorded too. The same idea for photos is in photo approval before shipping.
  • One file for the insurer or the bank. The evidence dossier puts stills from the recording, the photos, the fingerprints, the buyer's approval and the carrier and tracking read from your store into one PDF, which you download and submit yourself. Shopify Payments chargebacks open a case in PallasMark with reminders 7 days and 48 hours before the deadline; see chargeback evidence.
  • Your log points to one record. Each order's record holds the recording, its time and the buyer's decision, and on Shopify the proof link and status are written back to the order, so the recording reference column in your log is a link rather than a description.

The free plan needs no card; see pricing for plans. This SOP is part of packing proof by industry; resellers of watches and luxury goods should also read sneaker and luxury resale seller protection, and you will find our other printable forms in free evidence templates.

Frequently asked questions

How do you ship diamonds safely?

Document the stone and its value first: photos from several angles, the grading report number, and the invoice or appraisal. Pack it in a small inner box inside a plain, sturdy outer box with nothing on the label that names the contents, record the packing in one continuous take, and hand it over at a staffed carrier counter for a receipt. Require a signature on delivery and insure it for its full value, because carrier liability for jewelry is capped.

Can a packing video replace a witness signature?

It does the same job with more detail. A witness statement says someone saw the item packed; a continuous recording shows the piece, the inner box, the seal and the label, at a known time, and with a SHA-256 fingerprint it can be shown to be unchanged since. Parcel Pro advises jewelers to record the packing process to help prove the contents in a claim. If your insurer's policy names a specific witness procedure, follow the policy and keep the video as well.

What should a jewelry shipping log include?

For every parcel: the date, the order or memo number, the item and its report number, the value, the carrier and service, the declared or insured amount, the tracking number, who packed it, the recording reference, the handover receipt and whether a high-value summary was signed. Close each line with the delivery date and the signature name, or the exception.

Does declared value insure jewelry?

No. Declared value sets the carrier's liability limit; it is not insurance. FedEx lets jewelry be declared up to $1,000 per package and says it does not provide insurance. Above the carrier limits, jewelers use specialist cover such as a jewelers' block policy or a shipping insurance program, which come with their own documentation requirements.

What does UPS require for jewelry worth more than $1,000?

Under the 2026 UPS Tariff, liability for a package processed in a UPS shipping system and tendered to a driver or UPS Customer Center is limited to $1,000 unless a UPS high-value shipment summary is signed by the driver or counter staff at tender. For claims of $1,000 or more, UPS may require a copy of that signed summary. UPS does not accept packages with an actual value above $50,000.

Should I use a drop box to ship jewelry?

No. The Jewelers Mutual Group guidance published by the American Gem Society says never to use a drop box and to take the package to a carrier-staffed location for a receipt with the tracking number. The 2026 UPS Tariff also limits liability to $500 for a package left in a UPS drop box.

Can the buyer approve a high-value piece before it ships?

Yes. With PallasMark you set an order value above which the buyer is asked to approve the packing video. You send it with one tap; the buyer opens a link with no account, watches their piece go into the parcel and approves or reports an issue, and the record keeps their decision and how long they watched.
