A wholesale order of 48 ceramic mugs goes to a boutique in four cartons. Nine days later a report arrives: six mugs damaged in transit, one photo, refund requested. The deduction is already on your payout. Whether you accept it, replace the mugs or dispute the report depends on one thing: what you can show about how those four cartons left your bench.

What happens to a brand when a Faire retailer reports damage

The money moves before anyone looks at your evidence. According to Faire's brand help article What if a retailer reports issues with my products?, the cost of the reported products is deducted from your payout if you have not been paid yet, and if you have, your bank account is charged for their value 12 days after the retailer's claim.

From there the retailer chooses between a replacement and a refund. A replacement order lands in your Orders page; shipping it does not cancel the deduction on the original order, but you are paid for the replacement products once it ships, and Faire covers the retailer's shipping. You cannot issue a refund outside this process, and you cannot undo a report once it is filed.

Every report also counts against you. Faire's damaged items metric is the share of your orders with items reported damaged, and its commitment to service and quality lists the damaged and missing order rate, and how you resolve those orders, among the standards it monitors, with suspension possible for brands that consistently exceed the thresholds. Reports you successfully dispute are excluded from that metric.

Faire's issue report rules, side by side

Faire runs the same report through two clocks: the retailer's and yours. These rules are taken from Faire's retailer and brand help centers, checked October 2026.

Rule Retailer side Brand side
Window Report up to 14 days after delivery; extensions reviewed case by case 10 days from the report to message, request photos or dispute
Report types Missing package, missing item, damaged in transit, defective, arrived spoiled or melted (food and drink only), wrong item You see the same types on your Issues page
Evidence Photo plus a description of at least 15 characters for damaged, defective, spoiled and wrong item; no photo needed for missing You see the retailer's photos; you can ask for more inside the window
Money Refund or invoice adjustment, or a replacement order Deduction from payout, or a bank charge 12 days after the claim if already paid
Replacement Retailer pays for the replacement order; Faire covers its shipping You are paid for the replacement products once it ships
Goods Keep the item and packaging at least 14 days after reporting; return only if the brand sends a label You may ask for the items back with your own return label
Final say Faire may accept or reject any report, including suspected fraud Disputes are reviewed by Faire's team, which connects within 24 hours
Insurance Not applicable Ship with Faire labels: default cover up to $100 / €100 per order; own carrier account: claim with that carrier

Two details catch brands out. First, a product listed as one unit that actually contains several gets reported as a whole, so a single broken piece in a set of six can be deducted as six; Faire asks brands to contact its team when that happens. Second, multi-carton orders invite "missing item" reports while a carton is still in transit, which is why Faire recommends adding every tracking number to the order.

What to capture per carton before a wholesale order ships

Capture each carton as one continuous recording, from the open carton with every case pack counted to the sealed, labelled box, tied to the Faire order number. Each frame answers a specific report type.

Frame What it shows Report it answers
Order number and "carton 2 of 4" on screen or on the carton This carton belongs to this order All of them
Each case pack, opened or with its count label, as it goes in The count and SKUs in this carton Missing item, wrong item
Wrapping, dividers and inner packaging Fragile units were protected Damaged in transit
Void fill and a shake test Nothing could move Damaged in transit
Insulation and coolant, for food and drink Temperature protection was packed Arrived spoiled or melted
Tape and the shipping label applied The carton was sealed as filmed Missing item, damaged in transit

The same per-carton discipline is what answers retail shortage deductions, covered in retail compliance chargebacks, and pallet-level counts on B2B shipments.

How to respond to a Faire damage report, step by step

Respond in the same order every time and the 10-day window is more than enough.

Reading the report against your record

Retailer reports Your record shows What to do
Damaged, photo shows a crushed carton Proper wrapping, dividers and fill Accept or replace, then claim transit damage from Faire's insurance or your carrier
Damaged, photo shows a loose unit with no packaging Every unit wrapped and divided Ask for photos of the carton and inner packing; dispute if they do not match
Missing item The item going into carton 3, which shows "in transit" Add tracking, message the retailer, dispute if it arrives
Wrong item The ordered SKU's label on camera Dispute with the frame that shows the label
Whole set reported for one broken piece Set packed unit by unit Contact Faire's team about the bundle deduction
Spoiled or melted Insulation and coolant packed to your rule Compare transit time and delivery date; see perishable shipping claims

What the seller's side actually looks like

Capture on the phone that is already in the room, and a sealed record the other side can open and check without an account.

Beyond Faire: damage claims on other wholesale channels

The carton record you keep for Faire answers wholesale damage claims everywhere else, because every channel asks the same question: what was in this carton, and how was it packed? Wholesale orders placed through your own Shopify store sync into PallasMark like any other order through the Shopify integration, so the same scan-and-record routine covers them without retyping order numbers. Retail buyers who short-pay invoices are covered in B2B shipments, and if a 3PL packs your wholesale orders, 3PL mispick disputes explains how to hold them to the same standard. Carrier deadlines for the claims that follow are collected in shipping damage claims by carrier.

How PallasMark handles wholesale damage reports

PallasMark records each carton on the phone at your packing bench and keeps the recording, the photos and the order together as one sealed record. Add the Faire order as a manual order, or keep a warehouse record per shipment with the Faire order number and carton count in custom fields; orders from your own Shopify or WooCommerce store arrive on their own, and scanning their slip or label opens the order before the first case pack goes in. Photos are stamped with your company name, the order number and the upload time.

Every file gets a SHA-256 fingerprint, and the tamper-proof recording has a public verification page that re-checks it on the spot. That is the link you paste into a dispute description or a Messenger reply: a retailer or a Faire agent opens it with no account and sees exactly what went into carton 2.

When a document is needed, the evidence dossier builds one PDF for the order: four stills from each recording, the photos, the fingerprints and the carrier and tracking read from your store, which is how the same record supports chargeback and dispute evidence. You download it and send it yourself; PallasMark never submits anything to Faire.

For a large opening order or fragile goods, buyer approval lets the retailer watch their own cartons being packed and approve before they ship. Sending is one tap, they need no account, and their decision and watch time stay on the order, so a later damage report starts from cartons they already accepted. The free plan needs no card; see pricing.

Frequently asked questions

How long does a Faire retailer have to report damaged items?

Faire lets retailers report an issue for up to 14 days after delivery. Damaged, defective, spoiled or melted, and wrong item reports need a photo and a description of at least 15 characters; missing item and missing package reports do not need a photo. Retailers can ask Faire for an extension after 14 days, which is reviewed case by case.

How long does a brand have to dispute a Faire issue report?

Ten days. Faire's brand help center says you have a 10-day window to message the retailer, request more photos, clarify the report or dispute it. After that the dispute option closes in your portal, although you can still contact Faire's team for help.

Who pays for damaged items on Faire?

The brand, at first. The value of the reported products is deducted from your payout, or charged to your bank account 12 days after the claim if you were already paid. If you fulfill a replacement, you are paid for the replacement products once it ships, and Faire covers the retailer's shipping on it. Transit damage can then be claimed from Faire's shipping insurance if you used a Ship with Faire label, or from your own carrier.

Does a damaged item report hurt my Faire brand account?

It counts toward your damaged items metric, the share of your orders with items reported damaged, and Faire lists the damaged and missing order rate among the performance standards it monitors. Faire says reports that are successfully disputed are excluded from the metric, which is a second reason to dispute the ones your records contradict.

What should a brand photograph before a wholesale order ships?

For each carton: the order and carton number, the open carton with every case pack and its count, the inner packing and dividers, the void fill, the sealed carton and its label. One continuous video per carton is stronger than separate photos, because it shows nothing changed between the count and the seal.

Does Faire's shipping insurance cover my own carrier labels?

No. Faire's default shipping insurance applies to orders shipped with Ship with Faire labels, covering up to $100 or €100 per order for lost, damaged or missing items in transit. If you ship with your own carrier account, Faire says to contact that carrier for coverage and claims. Optional EasyPost insurance replaces Faire's default cover rather than adding to it.

Can a retailer approve the cartons before a large wholesale order ships?

Yes, with PallasMark's buyer approval. You send the retailer the sealed recording of their order with one tap; they open it with no account, watch and approve or report an issue. Their decision and watch time stay on the order, which is useful for a large opening order or fragile goods.
