Selling a $300 pair of sneakers or a $3,000 bag on a resale platform feels protected. Someone authenticates it, someone checks the condition, and the platform sits between you and the buyer. Then a verification fails on a detail you know was fine, or a bag comes back through the authenticator with a scuff you never shipped, and you find out that every one of those checks compares the item against a reference you never documented: its condition when it left you.

This guide covers what StockX, eBay's Authenticity Guarantee, Poshmark and Vestiaire Collective actually check, the deadlines that apply, a recording routine for sneakers, bags and watches, and copy-ready messages for the appeal or claim. It is one of our vertical guides on packing proof by industry.

What authenticators and claim reviewers actually check

They check one unit against two references: the listing, and the condition the item was in when it was sent. Neither reference includes your word.

  • StockX inspects items at a verification center against its condition guidelines. Its seller verification page lists the failure reasons: the item is not new and unworn, not the correct size, missing the original box, or counterfeit. A failed item goes back to the address on the seller's account, and StockX notes that receipts, extra stickers and tags are not guaranteed to come back with it.
  • eBay Authenticity Guarantee routes eligible items through a professional authenticator before they reach the buyer. On a return, the authenticator inspects the item again to confirm it matches the item originally sent.
  • Poshmark decides claims on the buyer's photos: undisclosed damage, an incorrect or missing item, an item not as described, or an item that is not authentic, per Posh Protect.
  • Vestiaire Collective sends the seller a quality control report detailing each discrepancy between the item and its listing, with supporting pictures.
  • Card issuers, for sales through your own store, read Visa's rules. Visa's Dispute Management Guide for Merchants lists serial numbers that can be independently verified as evidence against a counterfeit claim (condition 13.4), and inspection records showing acceptable condition before shipment for not-as-described claims (13.3).

The rules by platform

Each platform puts the item through a different check on a different clock. The table below gives the rules as each platform states them on its own pages, checked October 2026. Thresholds change; confirm the current figure on the linked page before you price around it.

Platform Where the item goes What gets checked Window or deadline What the seller can do
StockX (Verified) A StockX verification center New and unworn, correct size, original box, authenticity Penalty fees for items that fail or ship late, taken from payouts Appeal through Customer Service with order number, failure reason, photos and explanation; a denied appeal is final
eBay sneakers Authenticator, then buyer Authenticity and listing match; a QR tag is attached Select models from $75, other shoes from $500; the tag must be attached and untampered for a return, per eBay's sneaker page Document condition; eBay's returned-item condition policy (UK help page) lets qualifying sellers deduct up to 50% of a refund for loss in value
eBay handbags Authenticator, then buyer Authenticity and condition; security tag and card attached Free from $500, optional $40 add-on from $200 to $499.99; returns inspected within 2 business days of receipt The return is denied if the security tag was tampered with or removed
eBay watches Authenticator, then buyer Dozens of points, including the serial number Automatic from $2,000, optional $80 add-on from $500; returns checked within 2 business days, per the watch seller page Seller must ship to the authenticator with appropriate insurance
Poshmark Buyer; select luxury items from $500 via Posh Authenticate Buyer's photos of the problem Buyer has 72 hours after delivery; returns shipped within 5 days of approval Items that fail authentication are returned and cannot be relisted
Vestiaire Collective Quality control Each discrepancy against the listing Buyer has 72 hours to confirm the order or take a full refund Have the item shipped back (duties and taxes on reshipment are yours) or relist it with an updated description

Two details in that table matter more than they look:

The security tag is the authenticator's, not yours. You cannot film an eBay tag at packing because the authenticator attaches it. What you can film is everything the tag later protects: the item's condition, flaws and identifiers as you shipped them. When the item comes back, the authenticator compares it with what they saw, and your record lets you check that comparison.

StockX gives you one shot at the appeal. If the photos you attach are taken after the item comes back, they show the item after a round trip through two carriers and a verification center. Stills from a recording made before you shipped show it before any of that.

Step-by-step: the pre-ship record for sneakers, bags and watches

The routine below takes a minute or two per item and covers all of the platforms above. Record it as one continuous take.

What the seller's side actually looks like

Capture on the phone that is already in the room, and a sealed record the other side can open and check without an account.

The green verified result appears only after the stored file is re-hashed and compared with this recorded fingerprint.

This is the page you send. A buyer, a bank or a carrier opens it with no account and checks the file themselves.

Copy-ready messages for appeals and claims

Keep every message factual: what the record shows, when it was made, and how the reviewer can check it. Do not argue that the buyer or the authenticator is wrong; let the record make that point.

How PallasMark handles luxury resale

PallasMark gives a resale seller one sealed record per item, made on the phone already on the bench, and turns it into whatever each reviewer needs.

Scan, record, sealed. Scanning the order's label opens that order in the app, so the recording is bound to it before the first frame. Every stored file gets a SHA-256 fingerprint, and changing a single frame produces a different fingerprint. There is no edit button for recordings anywhere in the product. That is what makes tamper-proof video more than a watermark.

A link any reviewer can check. Each proof has a public verification page that re-hashes the stored file and shows whether it still matches. A buyer, a marketplace agent or an authenticator opens it with no account and no login.

Identifiers as searchable data. Add custom fields such as serial, date code or style code to records, so you can find "the bag with serial ending 4471" without scrubbing through video.

Buyer approval for own-store sales. For orders above a value you set, the next step after recording is to send the buyer the recording with one tap. They choose Approve or Report an issue, and the record keeps their decision and how many seconds they watched. You can require them to watch part of the video before the approve button unlocks. See buyer approval.

The other half of a return. When a return opens, the buyer gets a link to film the returned item before posting it back; Shopify and ShipHero returns trigger it automatically. Both recordings sit on the same order, which is the comparison every authenticity and warranty claim comes down to.

One file for the dispute. On request, the evidence dossier puts four stills from each recorded video, the order details, the fingerprints, the buyer's approval and the return evidence into one PDF. You upload it to the processor or marketplace yourself. It is included in every plan, as is the verification page.

Free plan, no card, no hardware. See pricing for plan details, or start with the next pair you list.

For the other verticals and how their rules differ, see the hub on packing proof by industry. Card sellers face a stricter version of the same problem in trading card shipping protection, and the return side of it is covered in return swap fraud and serial numbers. Refurbished phone and laptop sellers fight the same serial-number question in refurbished electronics dispute evidence. For high-value pieces sold outside resale platforms, jewelry shipping proof and proving which unit you shipped go further.

Frequently asked questions

Can I appeal a StockX failed verification as a seller?

Yes. StockX asks sellers to contact Customer Service with the order reference number, the failure reason, photos of the product and an explanation of why it should have passed. If the appeal is denied, the original decision is final, so the photos you send carry the whole case. Stills from a recording made before you shipped show the item as it left you, not as you remember it.

What does eBay check when an Authenticity Guarantee item is returned?

For handbags and watches, eBay says the authenticator inspects the returned item within two business days of receiving it to confirm it matches the item originally sent. The security tag must remain attached and untampered for the return to be eligible. Your own pre-ship record lets you check the authenticator's result against the condition you actually shipped.

How long does a Poshmark buyer have to report a problem?

Poshmark's Posh Protect page gives buyers 72 hours after delivery, based on the tracking on the shipping label, to open a return case in the app or on the website with supporting photos. If no case is opened, payment is released to the seller. Approved returns must be shipped back within 5 days of approval.

Why record the item if the platform authenticates it anyway?

Because authentication checks the item against the listing, and returns are checked against the condition it was sent in. Neither check covers what happened between your bench and the authenticator, or proves which flaws were already disclosed. A sealed recording made at packing is the only record of the item's condition before anyone else handled it.

What should I film for a luxury handbag?

The serial or date code tag where the brand uses one, the heat stamp and hardware engravings, all four corners and the base, the handles and their edges, the interior, every flaw you disclosed, the dust bag and any authenticity card, then the bag going into the carton and the carton being sealed and labeled. Keep it in one take tied to the order number.

Can a buyer approve a high-value piece before I ship it?

Yes, for orders you ship directly from your own store. With PallasMark you hold the parcel and send the buyer the sealed recording with one tap; they watch it on a link with no app or account and choose Approve or Report an issue. The record keeps their decision and how long they watched. On marketplaces, keep buyer communication inside the platform's messaging and follow its rules.

Will a bank watch my packing video in a chargeback?

Usually not. Stripe tells merchants that banks evaluating a dispute will not review audio or video files or links. PallasMark's evidence dossier puts four stills from each recorded video into a PDF with the order details and fingerprints, which you upload to the processor yourself.
